Project and Its Background

PhilSCA Library Management focuses on basic operations in a library like searching books, adding new books, new users, updating information of users, facility to borrow and return books and generate reports. This system is designed to help the librarians and its users maintain and organize library.

With this web-based system the operation of managing inventories and borrowing books is paperless. There will be no loss of book record or member’s record which usually happens in manual system is used.

In addition, report module is also included in PhilSCA Library Management System. The Librarian user can generate different kinds of reports like list of students registered, frequent borrowed book, rarely borrowed books, reserved books, list of books, unpaid and paid reports and unreturned book report.

All these modules are able to help librarians to lessen their workload and to able to manage library’s daily operation efficiently and more convenience as compared to manual library system.

Purpose and Description

Philippine State College of Aeronautics also known as PhilSCA is an aviation State College in the Philippines located at Piccio Garden, Villamor, Pasay City, Metro Manila.

Currently, they managing 4,800 books in their library and they have approximately of 5,000 students who are currently enrolled in their 12 courses offered in their main campus.

Currently, PhilSCA library is facing several problems in their service because of the manual system they use in daily transactions. The Librarian needs enough time to track down the full list of borrowed books. They are also having hard times of tracking overdue books, unreturned books and giving an updated and real time inventory count of their book in the library.

System Analysis will be used in the process of gathering and interpreting facts, diagnosing problems, using information to develop a system that will use modern technology to make the operations of PhilSCA library’s successful.

Project Context

PhilSCA Library is currently using manual system in their daily operations. After gathering and collecting data about the existing process I can say that there are a lot of improvements need to be done. Existing manual system should be replaced with new one.

First phase of improvement, I will design a web-based library management system where its users can search books, view availability of books and reserve book online anywhere and everywhere as long as you are connected to the internet. Standard HTML and web tools including Java, JavaScript, CSS, Bootstraps, Servlet technology and others will be used in this project. This website will also automate inventory management and other operational processes.

Second phase of improvement is to add features that will facilitate library’s process and to make its users happy and satisfied. Book reservation, checkout, returns and overdue borrowed books are acknowledged through SMS or Email Address. The website will also have system generated reports for librarian’s user for their easy tracking.

Objectives of the Study

The general objective of the study is to develop the PhilSCA Library Management System that will increase the efficiency and manageability of processes in searching, returning, borrowing and managing books and also to safeguard the number and inventory of books under the care of PhilSCA Librarian.

Specifically, the study aims to facilitate the transactions by building a web-based library management system where the users can view, search and book a reservation online. The users can search the availability of the book they want to borrow. This study also aims to generate real-time inventory count and records, history and summary reports for their fast tracking.
